E-Mail Lists: Ordering
Please e-mail us the following information:
- lists being ordered
- selections
- quantity desired per list
- creative format (HTML or text only)
- desired blast date
- test/seed addresses (up to 6)
- “From” Line: Each list has its own non-negotiable policy, with some using the list/source name and others insisting on using the sender’s (advertiser’s) name. Please give us the exact spelling and punctuation of the advertiser’s name (either the company name or a recognized division or brand of that company).
- “Subject” Line: This must clearly and accurately introduce the message and offer being presented. (Some lists limit subject line to 50 characters.)
- special requests for tracking (not automatically done), domain suppression, personalization, Flash HTML, etc.
- size of your opt-out file (suppression file of individual e-mail addresses from people who have said they do not want to receive e-mail transmissions from your company), to be followed by an up-to-date file within 10 business days of the blast.
We will prepare list-order confirmation(s) for your signature.
An order confirmation for each list must be signed and faxed back to 510-217-2364 before we submit them.
Creative
Please e-mail the final creative as specified below. E-mail creative must be submitted approximately five to seven business days before desired blast date for list owner approval.
- Text only - please e-mail as a text file (.txt)
- HTML - please e-mail the HTML message, with all images hosted, and a text message for back-up transmission.
Live Links All forms of creative must have working URLs before they can be approved by the list manager.
Federal Anti-Spam Compliance:
- Please include your company’s actual physical address in all e-mail messages.
- You must include a specific e-mail address or URL (opt-out link) so users can request to be removed from your list. It’s your responsibility to take unsubscribes off your database and include them in your company’s Do-Not-E-Mail file within 10 business days. Also, the law requires that all opt-out links be live for at least 30 days.
- Header and/or footer will be added to the creative by the list manager to identify where the recipient opted in, and offer an opt-out link for the list itself.
Please be advised that the standards are different for Canadian campaigns.
Once you forward us your “final” creative and we have forwarded it on to the list managers, we will charge $100 plus any list manager fees if the creative changes before testing and we have to resubmit.
Testing
A test will be sent before the blast, usually after receiving all necessary paperwork (list rental agreement if applicable, prepayment or PO).
Please be sure to check all of the following components of your message prior to approving any test for final transmission:
- all hyperlinks are live and point to the correct landing page
- all clickable images are live and point to the correct landing page
- all images are visible and correct
- personalization, if requested, has been included in the message
- message copy and message formatting are correct
- Subject Line and From Line are correct
- spelling and grammar are correct
- opt-out link works
One person should be designated to accept feedback and either request changes to a message or approve it.
Each order will be allowed two tests (one test and one retest). Each retest after that will incur a fee set by the list owner or Prospects To Go.
To approve a test, do not reply to the test. Please forward the test to lisa@prospectstogo.com, or another designated e-mail address we provide, and type “approved” above the text.
Final Broadcast
The final blast date cannot be confirmed until we have all necessary paperwork and tests have been approved. Mail dates are not guaranteed. Specific times cannot be guaranteed within a date.
Please note that if you want to change your blast date after your opt-out names have already been suppressed, we may by law have to run an updated file against the list later for an additional charge.
Tracking/ Billing
If you requested tracking, we usually get the report after one week (five business days) unless directed otherwise. Final billing for campaigns with multiple blasts is available 3-4 weeks after the final blast.
